Hoursmith for consultants
Itemized invoices, PO numbers, detailed time notes, your own email domain, and CSV export — a setup for consultants billing corporate clients.
Consulting clients tend to want detail: itemized hours, clear notes on what was done, a purchase order number on the invoice, and a "From" address that looks like your business — not a generic tool. Hoursmith is built to produce exactly that kind of invoice.
Who this is for
Independent consultants and small consultancies who bill corporate clients, often through an accounts-payable process. If your invoices need PO numbers, line-item detail, and clean records your client's finance team can reconcile, this is your setup.
Set up for billable detail
Set per-client billing defaults
On each client, set the currency, default rate, payment terms, and any PO number the client requires. These become the defaults on that client's projects and invoices, so the detail is right every time. See Client billing defaults.
Create a project per engagement
Give each engagement its own project with the right billing type — hourly or a fixed fee. See Projects and Billing types & rates.
Track time with notes
Log time as you work and add a note to each entry describing what you did. Those notes are what make an itemized invoice readable to a client. See Time tracking.
Build an itemized invoice
Create an invoice and choose an itemized grouping so each billable entry appears as its own line. Hoursmith carries your PO number and billing details onto the invoice.
Send from your own domain
Set up your own email domain so the invoice arrives from your business address, then send it.
The features that matter most
- Per-client billing defaults, including PO numbers. Set the client's PO number and terms once and Hoursmith puts them on every invoice. See Client billing defaults.
- Itemized or grouped invoices. Show every line, or group by project and task — your call at invoice time. See Create an invoice.
- Notes on time entries. The description of work that AP teams expect, captured as you track. See Time tracking.
- Invoices from your own domain. Bring your own SMTP, Amazon SES, or Resend so clients see your address. See Email settings.
- CSV export for accounts payable and your own books. Export your data when finance asks for it or when you reconcile. See Export data.
Hoursmith exports to CSV but doesn't file taxes or replace accounting software. Hand the CSV to your accountant or import it into your books. See Export data.
Sending from your own domain
A consultant's invoice that comes from name@yourfirm.com lands very differently from one sent by
a third-party tool. Hoursmith lets you connect your own mail provider so every invoice and reminder
goes out under your domain. Set it up under Email settings
(available on Studio and Agency).
