Invite your team
Add teammates to your workspace, choose their role, and understand what each role can see and do.
Working with others? Invite them to your workspace and pick a role that fits. Thanks to flat-fee pricing, inviting teammates within your plan's limit doesn't change your bill.
- Role
- OwnerAdminManager
Owners, Admins, and Managers can invite. You can only invite someone at your own role or below — so a Manager can invite Managers and Members, but not Admins. Seats are limited by plan: Free 3, Studio 10, Agency 25.
Send an invite
Open Team settings
Go to Settings → Team. You'll see current members, pending invites, and your seat usage ("N of limit members").
Invite by email
Enter the person's email and choose a role (Admin, Manager, or Member). Optionally pick the projects a Member should have access to. Send the invite.
They accept
Your teammate gets an email with a link. They set a password (or sign in), and they join your workspace. Invites expire after 7 days; you can resend or revoke from the Team page.
Which role should I choose?
| Role | Good for | Can do |
|---|---|---|
| Owner | You, the account holder | Everything, including billing and closing the workspace. One per workspace. |
| Admin | A trusted partner | Manage clients, projects, invoices, settings, billing, and the team. |
| Manager | A team lead | Day-to-day work: clients, projects, invoices, time, and inviting teammates. No billing or workspace settings. |
| Member | Contractors and staff | Track their own time and work on assigned tasks. Never sees rates, amounts, or invoices. |
Full details: Roles explained.
Members are "money-blind." They can't see rates, invoice amounts, expenses, or clients beyond the projects they're on. This makes Hoursmith safe to use with contractors. See Money-blindness.
What happens next
New members appear on your Team page and can sign in immediately. To give a Member access to a specific project, add them on the project's Members tab — or just assign them a task, which adds them automatically. See Project access.
Troubleshooting
- "This workspace has reached its plan limit." You've hit your seat cap. Upgrade your plan or remove a teammate. See Plans & limits.
- Invite went to the wrong email / didn't arrive. Revoke it and resend from Settings → Team; also check I didn't receive an email.
