Archive and delete a client
Archive a client to hide it reversibly, or permanently delete one — and understand when deletion is blocked.
When you stop working with a client, you can archive them to tidy your list, or permanently delete them in limited cases. Archiving is reversible; deletion is not.
- Role
- OwnerAdminManager
Archiving and deleting clients is a manage-tier action. Members have no client access.
Where to find it
Open a client from Clients, then use the Archive or Delete action on the client.
Archive a client
Archiving is a reversible soft-delete. The client is hidden from your active list but nothing is lost — you can restore them at any time to re-activate.
Open the client
From Clients, open the client you want to archive.
Archive
Choose Archive. The client moves out of your active list.
Restore when needed
To bring the client back, restore them — this re-activates the client and everything attached to it.
Permanently delete a client
Deletion removes the client for good. It's only possible when the client has nothing attached that needs to be kept.
Delete is blocked if the client has any non-archived projects, invoices, or time entries. You'll see: "Cannot delete a client with projects, invoices, or time entries. Archive it instead." There is no force-delete — archive the client instead.
When deletion is allowed, only the client's contacts and portal tokens are removed along with it.
Open the client
From Clients, open the client.
Delete
Choose Delete. If the client still has projects, invoices, or time entries, you'll see the blocking message above.
What happens next
- Archived clients can be restored at any time, fully intact.
- Deleted clients are gone permanently, along with their contacts and portal tokens.
Troubleshooting
- "Cannot delete a client with projects, invoices, or time entries. Archive it instead." The client still has non-archived projects, invoices, or time entries. Archive it instead — that keeps everything and is reversible.
