Supporting documents (timesheet & receipts)
Attach a client-safe timesheet PDF and shared expense receipts to an invoice so clients can see the detail behind what they're paying.
Some clients want to see the work behind the total. The invoice builder's Supporting documents panel lets you attach two optional, client-safe documents that travel with the invoice.
- Role
- OwnerAdminManager
Supporting documents are set on a Draft invoice by the manage tier (Owner, Admin, Manager). They're frozen once the invoice is sent.
The two options
In the builder (and the invoice detail's Supporting documents card on a draft), turn on either:
- Attach timesheet — generates a clean, client-safe timesheet PDF: one row per time entry, durations rounded to the quarter-hour so they reconcile with the invoiced hours, with the date, project, task, and notes. The member column only appears on multi-member invoices, and it never shows rates. A CSV version is available too.
- Include expense receipts — shares the receipts from the invoice's billed expenses with the client. You can share all of them or pick specific expenses.
What you choose is frozen onto the invoice when you send it, so a client always sees exactly what you shared at send time.
Where clients see them
- On the public invoice page (
/i/[token]) and in the client portal, under a Supporting documents card. - The invoice email attaches the timesheet PDF alongside the invoice PDF.
Download everything at once
On the invoice detail page, Download all as zip bundles the invoice PDF, the timesheet (PDF and CSV), and any shared receipts into a single file.
How it behaves over the invoice's life
- Drafts re-derive their supporting documents whenever you edit or rebuild the invoice.
- Sent / Paid invoices are frozen — the documents won't change.
- Cancelling or deleting an invoice drops the document snapshot along with releasing its time and expenses; restoring a cancelled invoice to draft resets the receipts toggle.
Tips
- The timesheet is deliberately rate-free, so it's safe to share even with clients on fixed-fee projects.
- Want to share only one receipt? Use the per-expense checkboxes under Include expense receipts.
Add expenses to an invoice
Include a client's billable expenses on an invoice. Expenses are opt-in in the builder and always render under their own Expenses group.
Edit a draft invoice
Only Draft invoices can be edited. Change lines, grouping, discount, tax, and details — and how re-running the entry selection rebuilds the lines.
